Emily Language Tutor is run by Emily Birstonas. For the purposes of data protection law, Emily Birstonas is the data controller for the personal information described in this policy.

What information I collect
If you complete an enquiry form, contact me by email, or get in touch about language lessons, I may collect:
- your name;
- your email address;
- your phone number, if you choose to provide it;
- where you are based, if you choose to provide it;
- the language or type of class you are interested in;
- your preferred lesson format, level, availability or learning goals;
- information you choose to include in a free text box or message;
- details needed to arrange, deliver and administer lessons, such as student names, learner ages where relevant, parent or guardian details, attendance, lesson notes, payment status and booking information.
Only name and email address are mandatory on the website enquiry form. Other information is optional unless it is needed later to arrange or provide tuition.
The website may also collect limited technical information, such as your IP address, browser type, device information and how you use the website, depending on the website hosting, form and analytics tools in use. If cookies or analytics are used, this should be explained in a separate cookie notice or cookie banner where required.
How I use your information
I use personal information to:
- respond to enquiries;
- understand what type of class or tuition may be suitable;
- arrange group classes, private tuition or availability discussions;
- manage bookings, payments, attendance and lesson administration;

Marketing and class updates
If you enquire about classes, I may respond to your enquiry and provide relevant information about the class or tuition you asked about.
I will only send broader marketing emails, newsletters or promotional updates where I have a lawful basis to do so. Where consent is required, you will be able to opt in and later unsubscribe or ask me to stop contacting you.
Special category information
Please avoid sending sensitive information through the website form unless it is genuinely relevant to your enquiry. This includes information about health, disability, learning needs, safeguarding, ethnicity, religion or other sensitive matters.
If you choose to provide information about a learner’s needs, health, disability or access requirements, I will only use it where relevant to considering, arranging or providing appropriate tuition, or where otherwise required by law.
Children and young learners
I provide language teaching for adults and young learners. Where tuition is for a child, I normally expect enquiries, bookings and payment arrangements to be handled by a parent, guardian, school, local authority, care team or other appropriate adult.
I only collect information about a child or young learner where it is relevant to an enquiry, booking, lesson planning, safeguarding, administration or providing tuition.
Where information is stored
I use Microsoft 365 for business email, documents and administration. My Microsoft 365 business data is stored in the EU.
Information may also be held in website forms, website hosting systems, email inboxes, documents, spreadsheets, accounting records, payment records or other business systems used to manage enquiries and tuition.
Appropriate steps are taken to keep personal information secure, including use of business systems, account security and limiting access to people who need it for legitimate business or technical reasons.
Who information may be shared with
I may share personal information where necessary with:
- website, form, hosting or IT support providers who help operate the website or enquiry form;
- Microsoft 365 and other business software providers;
- accountants, bookkeepers, insurers, banks or payment providers;
- schools, local authorities, care teams, parents or guardians where relevant to tuition arrangements;
- professional advisers, regulators or authorities where required by law or necessary to protect my legal position.
I do not sell personal information to third parties.
International transfers
My Microsoft 365 business data is stored in the EU. Some website, form, email, analytics, payment or technical providers may process data outside the UK or EEA. Where this happens, I will rely on appropriate safeguards provided by those suppliers, such as adequacy regulations, standard contractual clauses or equivalent lawful transfer mechanisms.
How long I keep information
I only keep personal information for as long as necessary for the reason it was collected.
As a guide:
- enquiry information is kept for a reasonable period so I can respond, follow up and manage class interest;
- student and lesson administration records are kept while tuition is ongoing and for a reasonable period afterwards;
- financial and accounting records are usually kept for at least six years where required for tax and business records;
- marketing preferences and unsubscribe records may be kept so I know not to contact someone who has opted out.
Information that is no longer needed will be deleted, anonymised or securely archived where appropriate.
Your rights
You have rights under data protection law, including the right to:
- ask for a copy of the personal information I hold about you;
- ask for inaccurate information to be corrected;
- ask for information to be deleted in certain circumstances;
- ask for the use of your information to be restricted in certain circumstances;
- object to certain uses of your information;
- withdraw consent where processing is based on consent;
- complain to the Information Commissioner’s Office.
